Booking Requirements

Before a reservation can be confirmed, the travelling passenger or their agent must provide the following information:

Flight Number, Time and Date of travel.
How many passengers physically travelling.
Current and Valid Passport details
Number of accompanying Baggage.
Any pets travelling?
Any special needs required.
Guaranteed Payment on Booking Confirmation.
Up to Two Greeters may attend each movement. Vehicle Registration, Model and Colour, along with all names including the Drivers must be supplied. (Sometimes ID Documents may be requested).

Arrival Service

Arrival
As you step off the aircraft our team will be waiting for you. You'll be whisked away in a luxury vehicle to your private lounge within our exclusive suite. Behind the scenes our team will collect your luggage.
Your Lounge
Enjoy the hospitality of our team in your private lounge, perhaps sample our a la carte menu which offers food services between 05:30am until 22:00pm with drinks only served outside of those hours, or spend time with invited guests, whilst immigration formalities are handled at the suite.
Leaving the Airport
Once immigration formalities are complete, and your luggage is returned, you'll join your chauffeur driven vehicle to take you to your desired destination.

Important Notes:

All bookings are subject to availability, and passport details and contacts need to be submitted at time of booking.
VIP suite passengers may wish to request additional greeters to be present. If so Vehicle registrations and vehicle details must be submitted at time of booking and visitors must carry passport identification for security purposes.

Greeting
One of Heathrow Windsor VIP chauffeurs will greet you at your door – you're then driven in comfort and peace to Heathrow Airport.
Arrival at Suite
Meeting you at our private suite will be one of our doormen who will escort you inside where your personal butler is waiting. Until your flight is ready, you can relax in your private lounge – how you spend your time is up to you.
Your Lounge
Carefully constructed with style and sophistication – each of our private lounges are designed to help you unwind, concentrate on work or relax with your invited guest or family. The beautiful artwork is curated by our partner, Tanya Baxter Contemporary.
Dining and Shopping
Savor our light and seasonal menu, expertly curated by British Michelin-starred chef Jason Atherton. From delicate snacks to indulgent dishes, everything is freshly prepared daily from 5:30 AM to 10:00 PM, with a premium drinks service available beyond these hours. Relax in the refined comfort of The Windsor by Heathrow, where every detail is crafted to make you feel at home. Enhance your experience with a Personalised shopping trip through the terminals.
Boarding
All security procedures happen within the exclusive Windsor Suite, and when your flight is ready you are driven to the aircraft.

Arrival
Our team will meet you as you step off the aircraft and you’ll be guided to your private lounge. All our lounges are carefully designed with elegance and comfort in mind to help you relax or focus on work. You can choose to dine from our seasonal menu designed by a Michelin starred chef.
Departure
When your flight is ready, you’ll proceed through our private security area and then you’ll be driven to the aircraft in a private car.

Formalities taken care of

With The Windsor by Heathrow all airport formalities are taken care of for you. Your time is important and we want you to spend it
how you choose – which means we take care of everything. All procedures are carefully orchestrated and happen within our
exclusive suite away from the main airport.

Checking In
Flying with The Windsor by Heathrow is like checking into a hotel. When you arrive we'll take your passports, flight details and luggage. Your airline will weigh and tag your bags and issue us with your boarding pass and baggage tags. We'll return all documents to you before your flight. All this takes place while you are in the comfort of your lounge.
Security
We have our own private security for our VIP guests so you can remain within the suite area at all times. Security rules for VIP meet-and-greet guests are identical to those for any other passenger traveling through Heathrow Airport. However, with VIP guests, all security measures are conducted within the privacy of our exclusive suite.
Immigration and Customs
We show your passport to the onsite Border Force officers. If they want to conduct further checks these would all happen in private. We manage all customs formalities for you and if you have anything to declare we will liaise on your behalf, while you remain within the comfort of your lounge.

Once booked and confirmed ‘Heathrow VIP’ do not offer refunds. However, date changes can be made subject to availability, usually within three months of the original booking date.
