Terms and Conditions – Meet and Assist Services

This document, along with any referenced policies, governs your use of the services offered by Airport Assists Private Ltd (“we”, “us”, or “our”). By booking or using our Meet and Assist services (“Services”), you (“Client” or “you”) accept these Terms and Conditions in full. If you do not agree, you must not use our Services.

Definitions
  • Client: The person or entity booking the Services.
  • Services: Airport meet and assist services provided by Airport Assists Private Ltd.
  • Booking: A request for Services confirmed by Airport Assists.
  • Additional Services: Extra services such as baggage porter, electric buggy, car service, lounge access and hotels.
  • Agent: Personnel from Airport Assists or subcontractors performing the Services.
  • Charges: Amounts paid in advance for the Services, including applicable surcharges.
  • Confidential Information: Commercial or proprietary data disclosed between parties.
  • Data Protection Law: UK GDPR, the Data Protection Act 2018, and related laws.
  • Force Majeure Event: Uncontrollable events such as war, natural disasters, or government actions.
  • Governing Law: The laws of England and Wales.
  • Intellectual Property Rights: Rights related to patents, copyrights, trademarks, and designs.
Booking Process
  • Bookings are accepted via our online portal (link) or by contacting booking@airportassists.com / +44 (0)7860634701.
  • Bookings must be made at least 48 hours before service date. Emergency bookings within 48 hours are subject to availability and approval.
  • Bookings may be requested up to 6 months in advance. Prices are confirmed only upon booking confirmation.
  • Clients must provide accurate passenger details (names, flight numbers, services required, contact info).
  • By booking, the Client confirms that each passenger agrees to these Terms.
  • Airport Assists may subcontract services but remains responsible for delivery.
Cancellation & Amendments
  • Cancellations within 48 hours: Full charges apply.
  • Amendments within 48 hours: Subject to availability and additional fees.
  • Cancellations before 48 hours: Free of charge unless otherwise specified.
  • Cancellations before 84 hours for BHD Belfast City Airport: Free of Charge unless otherwise specified.
  • No-shows: Full charges apply.
  • Additional services are subject to the same terms as core services.
Agents & Service Delivery
  • All Agents undergo background checks and training.
  • Agents follow airport security and regulatory standards.
  • Service duration is capped at 3 hours per departure/arrival.
  • Connection/Transit services exceeding 5 hours or involving baggage re-checks are treated as both arrival and departure services.
Rates & Charges
  • All services must be prepaid in full by the Client.
  • Additional charges apply for:
    • Public holiday services
    • Late bookings (within 48 hours): 50% surcharge
  • Charges are communicated at the time of booking.

We reserve the right to revise rates with 5 days’ notice.

Payment & Invoicing
  • Invoices are issued post-service and must be paid in the currency stated.
  • Payments are due in advance and via bank transfer or Via Payment link.
Force Majeure
  • Neither party shall be liable for delays or failures caused by a Force Majeure Event.
  • Parties must mitigate the impact of such events wherever possible.
Data Protection
  • Both parties comply with UK Data Protection Law.
  • Client data is processed securely and used only for fulfilling services.
Confidentiality
  • Both parties must keep Confidential Information secret during and for 5 years post-agreement.
  • Disclosures allowed only by law or to persons bound by equivalent confidentiality terms.
  • No public announcements without prior written consent
Anti-Bribery
  • Airport Assists enforces a zero-tolerance policy on bribery.
  • Clients must comply with the UK Bribery Act 2010.
  • Breach of anti-bribery terms constitutes a material breach.
General Provisions
  • No variation of these terms is valid unless in writing (excluding email) and signed by both parties.
  • No third-party rights under the Contracts (Rights of Third Parties) Act 1999.
  • No partnership or joint venture is created by this Agreement.
  • This Agreement may be executed in counterparts.
Governing Law & Dispute Resolution

This Agreement is governed by the laws of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
